Executive Secretary
at UAE GO in Abu Dhabi
Administrative Support Function
•Alleviates the Executive Director’s workload by handling appropriate matters and by taking over some of the administrative responsibilities;
•Is responsible for screening all telephone calls, emails and other correspondence and action where necessary on behalf of the Executive Director; takes follow-up action and redirects as appropriate with discretion and diplomacy;
•Assists the Executive Director in the management of his calendars and schedules appointments; handles calls from both internal and external sources;
•Deals with confidential correspondence, reports and other intricate documents;
•Develops a tracking system to assist the Executive Director in following up on assignments and correspondence;
•Manages the filing system of the Division by organizing the collection, management and availability of a large volume of correspondence and documentation and the safekeeping of confidential matters;
•Drafts routine correspondence for the Executive Director with accuracy and speed;
•Manages the diary and organize travel and accommodation and this may include national and international visa requirements;
•Organizes meetings organized by the Executive Director, invites members to the meetings and researches, prepares information relating to the agenda, arranges required facilities (e.g., room bookings, catering, etc.) and tracks the budget if needed;
•Takes minutes at meetings, typing up the minutes and actions follow-ups for use at the next meeting;
•Prepares and delivers PowerPoint presentations at meetings when required;
•Maintains and monitors the office administration budgets and expenditures; when necessary, produces summaries and financial data from spreadsheets;
•Actively participates in efforts to improve the efficiency of current administrative procedures and makes proposals to eliminate communication bottlenecks and streamline office operations;
•Provide back-up administrative and secretarial support to the rest of the Division when necessary;
•Has a sound knowledge of the Division and related activities, processes, policies and procedures and acts correspondingly.
•Work as part of team, delivering own tasks in line with deadlines and standards and supporting others to achieve their goals
